Open Up may provide you with a place in a third-party event either free of charge or at a reduced entry fee.
In return, you agree to raise the fundraising target confirmed to you at the time of registration.
Your place is provided specifically for you and cannot be transferred to another person without written agreement from Open Up.
By accepting an Open Up charity place, you agree to make every reasonable effort to raise the agreed fundraising target.
This target helps Open Up cover the cost of your event place and ensures that funds raised can support projects that make a real difference to NHS patients, carers and staff.
Unless agreed otherwise, sponsorship money should be paid to Open Up no later than six weeks after the event.
Where a registration fee is charged, this may be non-refundable unless Open Up agrees otherwise.
The registration fee helps secure your place and may contribute towards the cost of participation.
If you are no longer able to take part in the event, you must let Open Up know as soon as possible.
Open Up may not be able to refund any registration fee or event costs already paid.
If Open Up has paid for your place and you withdraw, we may ask you to continue fundraising, return any event materials, or cover reasonable costs already incurred. This will be handled fairly and on a case-by-case basis.
Third-party events are organised by external event providers, not by Open Up.
Open Up is not responsible for changes, postponements or cancellations made by the event organiser.
If an event is cancelled or postponed, Open Up will work with you and the event organiser where possible, but we cannot guarantee a refund, transfer or replacement place.
All money raised in support of Open Up must be paid to Open Up.
You must not deduct expenses from sponsorship money unless this has been agreed with Open Up in advance.
If you use an online fundraising page, you should choose Open Up as the benefiting charity where possible.
If you collect cash donations, you are responsible for keeping them safe until they are paid to Open Up.
Where eligible, sponsors may be able to add Gift Aid to their donation.
Gift Aid can only be claimed on personal donations from UK taxpayers. It cannot be claimed on business donations, raffle ticket sales, entry fees, or donations made in return for goods or services.
You must not complete Gift Aid declarations on behalf of other people.
You agree to fundraise in a safe, legal and respectful way.
You must not do anything that could damage the reputation of Open Up, Devon Partnership NHS Trust, or the event organiser.
If you are planning public collections, raffles, prize draws, commercial partnerships, or any other regulated fundraising activity, you must speak to Open Up first.
You may say that you are fundraising for Open Up.
You must not use the Open Up logo, branding or charity materials in a way that suggests you are employed by, representing, or speaking on behalf of Open Up unless this has been agreed in advance.
Any promotional materials using the Open Up logo should be approved by Open Up before being shared publicly.
You are responsible for making sure you are fit and able to take part in the event.
You must follow any health, safety, training, age, equipment or participation requirements set by the event organiser.
Open Up is not responsible for any injury, illness, loss or damage you may suffer while training for or taking part in the event, except where this is caused by our negligence.
You must meet the minimum age requirements set by the event organiser.
If you are under 18, you will need permission from a parent or guardian before taking part and before fundraising for Open Up.
Open Up may ask you to share photos, updates or your fundraising story.
We will only use your photo, name or story in our communications with your permission.
You can withdraw your permission at any time by contacting Open Up.
Open Up will use your personal information to manage your event place, support your fundraising, process donations and keep in touch with you about the event.
Your information will be handled in line with relevant data protection laws and Devon Partnership NHS Trust policies.
